Exhibitor Contract Terms and Conditions
Agreement Terms
“Exhibitor” refers to the organization contracting exhibitor space.
“The Show” refers to the NC Senior Home & Life Show and the production company, 55+ Shows.
“Venue” or “Facility” refers to The McKimmon Center.
Contracted Exhibitor Space
The exhibit space reserved under this contract cannot be transferred, assigned, sublet, or shared without the written consent of the Show. This agreement is solely between the Show and Exhibitor, who must occupy the booth exclusively. Any additional occupants are required to pay the full booth fee.
Exhibitor Display
The Show will provide each exhibit space with eight-foot-high black drapes in the back of the booth and three or four-foot sidewalls. The Show will also provide a table and chairs (number in accordance with your contract.) The McKimmon Center has low-pile carpet, so additional flooring will not be provided.
Exhibitor must bring all displays and collateral and will be responsible for display set-up and breakdown. Displays must be professional and visually attractive. No handwritten signs are allowed. The display must be contained within the agreed-upon booth space and may not extend to the aisle or interfere with surrounding exhibitor spaces.
Exhibitor is permitted to offer giveaways, provided that such items are appropriate and align with the nature of the event and/or product or service. Exhibitor must have prior written permission from the Show to give our food or beverage items other than wrapped candy.
Marketing and advertising of products and services in Exhibitor space must only relate to Exhibitor’s approved contract. Exhibitor may not market other brands.

Exhibitor shall bear full responsibility for all product and service sales, as well as any selling devices utilized in facilitating such transactions.
Exhibitor Set-Up and Breakdown
Exhibitor set-up will take place on Thursday, November 14, 2024, from 5:00 – 7:30 pm and on Friday, November 15, 2024, from 8:30 – 10:00 am. Exhibitors may park close to the entrance door on Thursday, November 14, 2024, for easy move-in. On Friday, November 15, and Saturday, November 16, 2024, Exhibitors must park towards the back of the parking lot to allow attendees with priority parking. Exhibitors may move their vehicles closer to the main entrance at the end of the show for easy load-out.
Exhibitor must have their displays ready by 10:15 am on Friday, November 15, 2024. Exceptions to this timeline must be approved by the Show at least two weeks before the event.
Exhibitor needs to be present by 10:15 am on both November 15 and 16, 2024. Your exhibit space must be occupied and attended throughout the Show on each day (10:30 am – 4:00 pm.) Displays must remain intact until the Show concludes at 4 p.m. A fee of $200 will apply for dismantling and departure before 4 p.m. on the final day.
Exhibitor breakdown may begin at 4:00 pm on Saturday, November 16, 2024, and must be completed by 6:30 p.m. Exceptions to this timeline must be approved by the Show at least two weeks before the event.
Exhibitors are responsible for both setting up and breaking down their displays.
Security
The Show does not guarantee or undertake to safeguard Exhibitor against any form of loss. By entering into this Agreement, Exhibitor acknowledges and agrees that it is not counting on or anticipating the Show to furnish any form of security or protection against loss or damage of any kind. Exhibitor hereby relinquishes any claims or causes of action pertaining to such loss or damages.
Exhibitor Communication
Please refer to your exhibitor contract and the official Show website (www.NCSeniorHomeShow.com) or contact your Show representative with any exhibitor questions.
You will receive detailed exhibitor communication emails one month, one week, and one day before the Show.

Exhibitor Payment
Exhibitor will pay in full the amount due for the contracted exhibitor space upon contract submission unless other arrangements were agreed upon by Exhibitor and the Show.
Force Majeure
In the event that the facility in which the Show is to be held or is held is destroyed or becomes unavailable for occupancy or the Show is unable to permit Exhibitor to occupy the facility or the space, or if the Show is canceled or curtailed, for any reasons beyond the control of the Show, including but not limited to, casualty, explosion, fire, lightning, flood, weather, epidemic, earthquake or other Acts of God, acts of public enemies, riots or civil disturbances, strike, lockout or boycott, MPE will not be responsible for any loss of business, loss of profits, consequential or special damages or expenses of whatever nature that the Exhibitor may suffer.
Liability and Insurance
If Exhibitor is requested to provide insurance, Exhibitor must do so before the Show, and coverage dates must include set-up, the Show, and breakdown.
Exhibitor is responsible for insuring its own exhibit, personnel, display, and materials from any damage or loss through theft, fire, accident, or other cause and accepts all risks associated with the use of the exhibit space and its environs. Exhibitor shall not make any claim or demand or take any legal action against the Show, Show sponsors, or the Show venue or associated personnel, for any loss, damage, or injury caused to the Exhibitors or associated personnel and representatives.
Exhibitors are responsible for any damage to the building, flooring, or booth inclusions provided by the Show (drapes, tables, chairs) caused by their set-up or staff, display, or breakdown. The exhibitor is solely responsible for damages and no liability will belong to the Show, venue, or other exhibitors, and their employees, volunteers, or agents. Exhibitors agree to indemnify the Show and hold same harmless from any and all claims or causes of action, which arise out of or are proximately caused by Exhibitor’s exhibits, employees, or agents.
Exhibitor Termination or Cancellation
Termination: If Exhibitor fails to comply with the Show Terms and Conditions, the Show reserves the right to terminate this Agreement. The Exhibitor will immediately be removed from the Show and incur any additional expenses for this early departure and all participation payments previously made by Exhibitor will be forfeited and retained by the Show without further obligation to the Exhibitor.
Cancellation: If Exhibitor cancels or terminates this Agreement, Exhibitor can receive a 100% refund if cancellation is requested 90 days or more before the Show, a 50% refund if cancellation is requested 31 to 89 days before the Show, and no refund if cancellation is requested less than 31 days before the Show.
